AI Tools Quick Reference
Overview
EAB has introduced several AI-powered capabilities designed specifically to support staff workflows. The CSU Chancellor’s Office has mandated that SJSU enable these features for most faculty and staff. Not everyone will have access to these tools, but for those that do it is expected that you maintain a high level of professional responsibility while utilizing the features.
Danger: As with any AI functionality, you as the human MUST use your best judgement when interpreting and using the output of generative AI.
If you encounter misinformation or errors with AI output, please forward it to the Spartan Connect Mailbox. We may not be able to resolve the issue but we can forward it to EAB for review.
Message Content Enhancement
The Message Content Creator is an embedded AI assistant that helps staff improve message content, including tone, length, and clarity. This tool is accessible wherever staff create messages, such as Send a Message and Appointment Campaigns.
Report Finder and Filter Assistant
Report Finder
This AI-powered assistant helps users navigate reports by identifying suitable reports, explaining available data, comparing different reports, and suggesting data filters. When appropriate, Report Finder results link directly to AI Report Filter Assistant to easily generate suggested queries. Report Finder respects privacy permissions, so only authorized reports and filters are displayed.
Report Filter Assistant
The Report Filter Assistant translates plain language queries into suggested data filters, allowing users to easily set up report data filters and extract valuable data insights from V3 reports. Users access the Report Filter Assistant only from reports for which they already have access.
Live Transcription and Summarization
This functionality is not yet available but will be released soon.
What: Meeting Summary Assistant allows the user to live transcribe and use AI to summarize a meeting transcript, summarize attachments, or summarize text to put in your Appointment Summary Report or Notes.
Where: Meeting Summary Assistant is available when creating an Appointment Summary Report or a Note for a student when the feature is active for your institution.
Who: Meeting Summary Assistant works for staff and faculty summarizing meetings or writing notes about students.
Important: No audio is recorded or stored by SJSU, EAB or their third-party transcription service. The Meeting Summary Assistant uses live transcription that generates a transcript that is temporarily available on the Appointment Summary Report. EAB also does not store your transcription after the Appointment Summary Report is saved or closed and neither does our third party transcription service.
Consent is required from all participants before using live transcription!
