Department Major Extract (SJSR072)

Overview
The Department Major Extract is a custom student records process that generates a report of all active students in majors within a department. This includes all programs and plans “owned” by the specified academic organization (college or department).
Getting Started
Begin by logging into MySJSU and navigating to the Department Major Extract page. The menu path for this page is: Main Menu > SJSU Campus Solutions > Records and Enrollment > Campus Reports > Department Major Extract

You will likely be prompted to search for a Run Control.
Searching for a Run Control
A Run Control is simply an identifier for a set of parameters. For most users you can simply use your SJSU ID number as the run control.
Begin by typing your own ID number into the search box and clicking Search
.
If you’ve already created this run control, the next page will load automatically. If no values are found, that’s fine, click on the Add a New Value
tab to add it.
Setting the Parameters
After the run control has been specified you will be prompted to enter the two parameters needed to run the report. Both must be entered or else the report will not generate as expected.
The term parameter, in most cases, should be the most recent or closest upcoming term.
The Term value will be used to look for students active in that particular term. If you pick an older term, new students will not be in the report. Likewise, any previously graduated or inactive students may not appear in newer terms.
The academic organization parameter should be the department to which the majors you are interested in belong.
Use the magnifying glass button to the right of the fields to help you select the appropriate values.
Running the Process
Once you’ve entered the values, click on the Run
button to proceed.
The next page will start the report processing. Click on the OK
button to initiate it. You do not need to change any values on this page, the defaults will work.
Viewing the Results
Once you click OK
, you’ll be returned to the parameters page and should now see a Process Identifier
in the upper right, underneath the Run
button. This tells you the process is running.
Click on the Report Manager
link and refresh the results every minute or so until you see the report generated.
Click on the link for the Department Major Extract
to view the results. Find the .csv
file and click on it to download.
Always filter the extract report to find the cohort of students you’re interested in. Because this is a department-level extract, students of all careers, programs, and plans will be listed.
