Time Sheet Instructions

Important Information

  • All students must turn in time sheets for unpaid hours.

  • It is your responsibility to turn in time sheets at least 2 work days before the end of the month, or sooner if notified.

  • Make sure you turn in your time sheets before leaving for an internship or vacation.

  • If you need assistance filling out your time sheet, please see a lead.

 

Restrictions when entering hours into Peoplesoft

  • Up to 20 hours per week during the semester

  • Up to 40 hours per week between semesters, if classes are not being taken

  • Up to 20 hours per week between semesters, if classes are being taken

  • Up to 8 hours per day

  • Make sure to select the correct budget (REG)

Enter hours into timesheet

  1. Look up SJSU@Work in http://one.sjsu.edu

 

  1. Select

Time Reporting → Report Time

If you have multiple jobs, they will all display.

Note: Be careful to select the correct job/record number when reporting time. If you have only one job, you will be taken immediately to the timesheet.

The Timesheet page displays.

  1. Verify the following to ensure you have selected the correct job:

  • Department Name

  • Job Title

  • Empl Rcd Nbr

 

  1. Select time period from the View By dropdown menu to by day, week or by time period for all of the days in the current period.

 

  1. Enter the total hours worked that day. The timesheet only accepts 1 decimal place numbers so round up the number of hours.

i.e. 3 hours 15 minutes = 3.3 hours

 

  1. Select

REG - Regular Hours Worked from the Time Reporting Code dropdown menu

  1. Click the Submit button.

Note: The Reported Time Status section displays the time submitted for the period.

  1. The Submit Confirmation page displays.

Click OK

 

 

  1. The Time and Labor Launch Pad displays, showing the current month.

Note: If you have multiple active jobs, a Job Title: dropdown menu will display.

 

 

  1. To change the time period, use the dropdown menus, and then click the View button.

  • Reported Hours: time submitted

  • Payable Hours: time that has been approved

 

  1. Click linked dates for more information about the time (see following).

Note: The legend at the bottom explains the values that appear in the calendar.

 

  1. Save the Time and Labor Launch Pad on SJSU@Work as a PDF.

  1. Using a pdf editor, write the total hours worked at the end of each week. Add the weekly totals for the monthly total and enter beneath the weekly totals.

 

  1. Create a DocuSign Envelope to submit your time sheet and upload the labeled timesheet to

DocuSign

 

 

  1. There are 3 recipients of the envelope: 

a. Yourself (signature required)

b. Alfred Eclipse (signature required)

c. Shawn Lahr (Receives a copy)

 

  1. Hit “Next” at the bottom right corner

 

  1. Add your signature placeholder and date at the bottom of the page

 

 

  1. Repeat the previous step but change the Recipient to Alfred

 

  1. It should look like this

 

  1. Once you’re ready, hit “Send” at the bottom right corner

10. You will have the option to Sign Now or Later

11. After signing, the signature and date should look like this. Then, click “Finish”.

 

12. The envelope is sent and the status can be seen.
